Updating to Office 365 ProPlus on College-Owned Devices

Office 365 logoAll College-owned devices will be updated to Microsoft Office 365 ProPlus starting on January 6, 2021. Office 365 ProPlus is a suite of familiar Office applications that includes Word, Excel, PowerPoint, OneDrive, Outlook, and Teams, and is part of our Office 365 subscription. Office 365 ProPlus applications are updated regularly with new features, security updates, and provide an enhanced collaboration experience for Office products.

Updating to Office 365 ProPlus

Office 365 ProPlus has been available as a self-service update and has come with technology-renewed computers since January 2020. Bringing remaining college-owned computers to the latest version will ensure a consistent experience across devices and the latest security and feature updates to all machines. Beginning January 6th, self-service installation will no longer be available, as Office 365 ProPlus will start being deployed to all campus computers automatically.

Automatic Update for Windows

All Windows users, regardless of whether they have previous versions of Office (e.g. Office 2016) or Office 365 ProPlus, will be brought up to the latest installation of Office beginning January 6, 2021.

  1. The installation will happen automatically when your computer is on and Office applications are closed.
  2. If you launch Office while it is updating, you will see a message saying, “Updating Office, please wait a moment”.
  3. Upon launching any Office application for the first time after the update, you will receive the first-launch dialog prompts informing you of the new installation and features such as Focused Inbox for Outlook.
    • If you were previously running Office 365 ProPlus and Focused Inbox is missing, you may need to restart the application or reboot the computer.
  4. Applications that were previously pinned to the taskbar for Office 2016 will need to be pinned again. You can launch the application, right-click the taskbar button for the app, then click Pin to taskbar.
  5. After the upgrade, to confirm you are logged in, look for your name or email address in the top navigation of the application or click Sign In if needed.

OneNote

If you have been using the desktop version of OneNote 2016, this application is replaced with OneNote for Windows 10. This application can be accessed via the Start Menu or via Windows search. Follow these instructions to open your notebooks from the OneNote for Windows 10 application.

Automatic Update for Mac

Mac users who have an older version of Office (e.g. Office 2016) will be updated to Office 365 ProPlus beginning January 6, 2021.

  1. The installation will happen automatically when your computer is on and Office applications are closed.
  2. If you launch Office while it is updating, you will see a message saying, “Updating Office, please wait a moment”.
  3. Upon launching any Office application for the first time after the update, you will receive the first-launch dialog prompts informing you of the new installation and features such as Focused Inbox for Outlook or the New Outlook for Mac experience.
  4. After the upgrade, to confirm you are logged in, look for your name or email address in the top navigation of the application or click Sign In if needed.

Skype for Business

Teams logoMicrosoft Teams is replacing Skype for Business. Teams allows you to host audio, video, and web conferences with anyone inside or outside your organization, easily share files, participate in one-to-one and group chats, and integrate with other Microsoft and third-party applications. Confirm Version

To confirm what version of Microsoft Office you have and whether the update was complete: 

On Windows 10

  1. Open any Office application, such as Word.
  2. In the top menu, click File and then click Account.
  3. Under Product Information, it should display Microsoft 365 Apps for enterprise and Belongs to: This device
  4. Under About Word, it should display Monthly Enterprise Channel
     

For macOS

  1. Open any Office application, such as Word.
  2. In the top menu, click Word and then click About Word.
  3. In the dialog box that opens, the license type should display Microsoft 365 Subscription with a Version 16.17 or higher

Troubleshooting

Update Windows and macOS Version

If Office 365 applications still do not load, we will ask to troubleshoot. As the first step, ensure that your operating system is up to date.

To check the Windows version and potentially update it:

  1. Click the  Start button.
  2. Type winver in the  search box.
  3. The current Windows 10 versions should be 1909 or 2004. If it not up-to-date:
    1. Click the  Start button.
    2. Click  Settings.
    3. Click Update & Security.
    4. Click Windows Update.
    5. Click the Check for Updates button.

To check the macOS version and potentially update it:

  1. Click the  Apple Menu located in the upper left-hand corner of the screen.
  2. Click About This Mac.
  3. The current version macOS version should be 10.15. If it not up-to-date:
    1. Click the  Apple Menu located in the upper left-hand corner of the screen.
    2. Click System Preferences.
    3. Click Software Update.

Close Office 365 Applications and Wait

If you are having issues loading any Office 365 application, close all Office 365 applications on your device and wait for about 10 to 15 minutes ensuring any updates are processed without interference. Do not allow the computer to go into hibernation or sleep modes and do not close the laptop lid.

Manually Update Office 365

If Office 365 still does not load after the Windows and macOS devices are updated to the current versions, you can install Office 365 manually.

To manually install Office 365 for WIndows 10:

  1. Click the  Start button.
  2. In the search box, type Company Portal and open the application.
  3. If prompted, select Primary Device / Shared Device.
  4. Within the Company Portal, click the Microsoft 365 Apps button.

To manually install Office 365 for macOS:

  1. In the macOS menu bar, click Go and then click Applications or click Self Service through the Launchpad application.
  2. Open the Self Service application.
  3. Sign in with your Netpass username and password.
  4. Click Install Office 365 ProPlus.
  5. On the following prompt, click Install Office.
  6. Follow on-screen prompts to install Office 365 ProPlus.
  7. After the installation process finishes, click Close.
  8. After the installation process is finished, restart the computer.

To obtain the device name for Windows 10:

  1. Click the  Start button.
  2. In the search box, type Computer and open the application.
  3. Right-click on This PC within the search results and click Properties.
  4. Under Computer name, domain, and workgroup settings, you will find the computer name listed.

To obtain the device name for macOS:

  1. Click the  Apple Menu located in the upper left-hand corner of the screen.
  2. Click System Preferences.
  3. Click Sharing.
  4. The computer name should be located at the top of the Sharing window.
