IC HR Cloud: Performance Review for Employees

 Navigating Performance in HR Cloud 

 To access Performance Tasks:

  1. Login to IC HR Cloud from apps.ithaca.edu
  2. Click on the Ithaca College Logo (top left)
  3. On the HR Cloud homepage, under the Me tab, Click on the Career and Performance app. Your Career and Performance page will open
  4. Click on the Performance Evaluations box.  Your My Evaluations page will open.  This page displays your performance documents and any related tasks.

To advance to the next step in the Annual performance review process: 

  1. Click the in the gray box to the left of Annual Performance Review 2018-2019  on your My Evaluations page to open the performance task list. 

  1. Click Begin or Continue (if returning to a saved task) next to the Task Name. 

OR 

  1. Click the Task Name (e.g. Complete Self-Evaluation) in the gray box under My Next Task. 

 

For an explanation of the performance rating scale for each competency, Click on the Blue next to the competency name.

 

Performance Tips 

  • To save: Click the Save button in the upper right corner of the page.  The system will auto-save every 10 minutes. 

  • To return later: Click the dropdown next to the Save button in the upper right corner of the page, then click Save and Close. 

  • To exit or cancel: Click the Cancel button in the upper right corner of the page.   

  • To print: Click to open a printable PDF. 

 

Completing a Self-Evaluation  

To begin your Self-Evaluation:

  1. In the gray box on the My Evaluations page, Click Complete Self-Evaluation under My Next Task. Create Performance Document box will appear.  The review period, start date, end date and supervisor name are pre-populated.

  1. Review your supervisor’s name to ensure that it is correct.  If correct, Click Continue.  The Performance Document page will open. 

The Self-Evaluation has 3 sections: Competency, Feedback Areas and Overall Summary. The Competency section will appear by default.

 
  1. Select a rating for each competency. To select a rating, Click on a .  Click on the to clear a rating.
  2. Click Show More or the Comment Icon to enter comments.  Comments are recommended but not required in this section.
  3. Click the  in the Feedback Areas section on the left and enter comments.  Comments are required in this section.
  4. Click the  in the Overall Summary section on the left to enter comments.  The system automatically calculates the Overall Summary rating by averaging your eight competency ratings.  Comments are recommended but not required in this section.
  5. Click Submit in the upper right corner to submit your self-evaluation to your supervisor.  A confirmation message will appear.  Click OK.  You will return to your My Evaluations page.
If you did not select a rating for each competency, you will get an error message when trying to submit the self-evaluation.  If this happens, Click OK and select a rating before resubmitting.

  

Requests for Supervisory Feedback from your Direct Reports

THIS STEP IS REQUIRED FOR EMPLOYEES WITH STAFF SUPERVISORY RESPONSIBILITIES. 

IF YOU DO NOT HAVE SUPERVISORY RESPONSIBILITIES, PLEASE IGNORE THIS STEP. 

On the My Evaluations page:

 
  1. Click Supervisors: Identify all Direct Reports to Complete Feedback in the gray box under My Next Task.  Your Feedback Requests page will open

 

To add direct reports to the list for feedback request:

  1. Click Add Participants to display drop down options, then Click Add Direct Reports for a pre-populated list of all direct reports. 

  1. Next to each employee’s name, Select Direct Report as the Role from the drop down menu, then Click Add. 

  1. Repeat step 2 for ALL direct reports. 

  1. Click on the X to close the window. 

OR 

  1. Click Add Participants to display drop down options, then Click Search. 

  1. Enter Name, Email, or Employee ID number then Click Search. 

  1. Select Direct Report as the Role from the drop down menu and Click Add. 

  1. Repeat steps 2 and 3 for ALL direct reports. 

  1. Click on the X to close the window. 

 

To remove an employee from the list: Click the X in the participant row on the right side of the page.

To initiate feedback requests:

  1. Review the list of participants.
  2. Send each notification individually by Clicking Notify Manager in the employee row or Click the Notify Manager button at the top of the page to send all notifications at once.
  3. A notify manager comment box will appear. Enter comments to send to your supervisor and Click OK.
  4. Click Done to exit the page.

Viewing your Completed Performance Review before your review meeting  

On the My Evaluations page:

  1. Click the in the gray box to the left of Annual Performance Review 2018-2019 to open the performance task list.
  2. Click View button next to Complete Self-Evaluation. The Performance Document page will open.
  3. Review the ratings and/or comments entered in the Competency, Feedback Areas and Overall Summary sections.
  4. Click the  next to each section name to open and view.
  5. Click Show More button in the Competency section on the left side of the page to view all ratings and comments entered or Click on the Competency Name to open and view each competency individually.
  6. Click Done in the upper right corner to exit page. 

 

Acknowledging your Annual Performance Review 

Acknowledging your annual performance review does not imply agreement with the comments or ratings entered in the review process but rather confirms you have received and reviewed the completed performance review.

On the My Evaluations page:

  1. Click Acknowledge My Annual Performance Review in the gray box under My Next Task. The Performance Document page will open.
  2. Click on the  in the Competency, Feedback Areas, and Overall Summary sections to review the ratings and/or comments entered.
  3. Click on the in Employee Feedback section and enter your final feedback.
  4. Click on the Check Box to verify your identity (You cannot submit your final feedback until you have checked the box).
  5. Click Submit in the upper right corner.
  6. A confirmation message will appear.  Click OK.
  7. You will be redirected to the My Evaluations page.  In the gray box for your evaluation, the status will be changed to Complete – [Date Completed MM/DD/YY]

This is the final step in the performance review process for ALL employees.

Submitting Supervisory Feedback as a Direct Report to the Next-Level Supervisor 

Submitting supervisory feedback is optional and can only be completed once the next-level supervisor has sent a feedback request to the employee’s direct report(s). 

Any ratings and comments entered will not be viewable to the supervisor in their final performance review.  Only the next-level supervisor and HR will have access to view ratings and comments entered by the direct reports. 

Please complete this feedback by the assigned due date. 

 

On the Career and Performance app main page:

  1. Click on the Feedback Requests tile. Your Feedback Requests page will open.  This page will display any feedback requests that you have completed for other employees.
  2. Click on the View By drop down menu in the upper left corner to view or complete pending, completed, or incomplete feedback requests.
  3. Click Begin opposite the employee’s name on the right side of the page. The Performance Document page will open.

The Performance Review will have 1 section: Competency. 

  1. Select a rating for each competency.
