Reserving the TLC (Friends 101)

Audience

This article is intended for faculty, staff and students who are interested in learning about scheduling Friends 101 (the TLC) for a meeting or class session.

Checking Availability of the Room

The calendar for the Friends 101 space has been recently changed to a room resource, meaning that it is reservable through the Microsoft Outlook Calendar. To view the availability for Friends 101, you will first need to add the calendar.

To add the calendar from outlook.office.com

  1. Navigate to your email in your preferred web browser and log in.
  2. Click on the calendar tab in the bottom left corner of the window to switch over to your calendar
  3. In the middle of the left navigation, look for the button that says "Import Calendar" and click it.
  4. A window will pop up to select where you're looking for a calendar. In the bottom left corner of the pop up, click "From directory" to search the Ithaca College directory.
  5. Type into the search bar "Friends Hall 101 - TLC - Huddle Wall" and click on the name to select this room. 
  6. Click "Add" to add the calendar.
  7. The calendar will now be available under "People's Calendars" in the left navigation of your calendars. You can click on the calendar name here to show/hide the calendar whenever you'd like.

To add the calendar from the Outlook desktop application

  1. Open the Outlook application and click on the calendar icon in the bottom left corner of the window
  2. In the Home tab of the top menu, click the "Open Shared Calendar" button
  3. Type into the search bar "Friends Hall 101 - TLC - Huddle Wall" and click on the name to select this room.
  4. Click "Open" to add the calendar.
  5. The calendar will now be available under "Shared Calendars" in the left navigation of your calendars. You can click on the calendar name here to show/hide the calendar whenever you'd like.

Reserving the Room

To reserve the room for your meeting, start by creating a calendar event in Outlook.

  • The room resource can be "invited" to meetings just like people. 
  • To schedule a meeting in the room, add the resource room into the calendar invite's "attendees" section. 
  • Note: when reserving this space please remember that the room has flexible furniture that can host up to 12 individuals.
  • Resource Accounts do not allow scheduling conflicts. If the resource already has an event scheduled for a particular time, no one else can "invite" the resource to another event.
